Refund & Cancellation Policy
Because these retreats are intimate, small-group experiences with shared costs, we ask that all guests review the following policy carefully before booking.
By reserving your spot, you acknowledge and agree to the terms outlined below.
1. General Policy Overview
All retreat prices are based on group rates and shared expenses (accommodation, transportation, activities, and experiences). A cancellation by one guest may impact the overall cost for the group, which is why this policy is structured to be fair to all participants.
2. Deposits
- All deposits are non-refundable and non-transferable.
- Deposits secure your space and are used to confirm group accommodations and planning.
- Deposits cannot be applied to future retreats or transferred to another person.
3. Accommodation Refund Policy
- Accommodation payments are refundable up to 60 days before the retreat start date, minus the non-refundable deposit.
- Cancellations made less than 60 days before the retreat start date will forfeit all accommodation payments.
4. Group Activities & Experiences Refund Policy
- Payments made toward group activities, excursions, transportation, and curated experiences are refundable up to 30 days before the retreat start date.
- Cancellations made less than 30 days before the retreat start date will result in forfeiture of all group activity payments.
This is due to advance bookings, vendor contracts, and shared group costs that cannot be recovered.
5. Non-Refundable Circumstances
No refunds (partial or full) will be issued for group activities or retreat experiences due to:
- Missed or delayed flights
- Missed activities or excursions
- Early departures
- Weather-related disruptions
- Personal emergencies
- Changes in personal circumstances
All retreats operate rain or shine.
6. Payment Plan Default
- All payment plans must be completed according to the agreed schedule.
- Failure to complete payments by the final due date may result in forfeiture of your spot without refund.
7. Retreat Cancellation by Host
In the unlikely event the retreat is canceled by the host:
- All payments made will be refunded excluding any non-recoverable expenses already incurred on behalf of the guest.
8. Travel Insurance (Strongly Recommended)
We strongly recommend purchasing travel insurance to protect your investment in the event of unforeseen circumstances, including illness, emergencies, or travel disruptions.
9. Final Notes
- No exceptions will be made outside of this policy.
- This policy exists to ensure fairness and sustainability for both the host and all participants.
- By booking, you confirm that you understand and accept these terms.

Roommate Agreement
Shared Accommodation
Guests selecting shared (double) occupancy acknowledge and agree to the following terms:
1. Shared Room Options
Guests choosing shared accommodation may do so in one of two ways:
Option A: Bringing Your Own Roommate
If you are registering with a roommate of your choice:
- Both roommates must register separately and submit deposits and all payments on time.
- Each guest is responsible for their own payment plan unless otherwise stated.
Option B: Roommate Matching Assistance
If you are traveling solo and selecting shared accommodation without a roommate:
- We will make a good-faith effort to match you with another solo guest of the same gender.
- Roommate matching is based on availability and cannot be guaranteed.
- If a suitable roommate match is not confirmed by the final payment deadline, your booking will be adjusted to the single occupancy rate.
2. Payment Responsibility
If you are bringing your own roommate and your roommate cancels, fails to make payments, or does not attend the retreat, you are responsible for covering the remaining balance associated with the shared room.
If a roommate cancels after final payment deadlines, no refunds will be issued, per the Refund & Cancellation Policy.
3. Roommate Cancellations
If a roommate cancels before the final payment deadline and a replacement roommate is confirmed, pricing may remain at the shared rate.
If no replacement roommate is confirmed, the reservation will be adjusted to the applicable single occupancy rate.
4. Roommate Conflicts & Expectations
Shared accommodation requires flexibility, respect, and communication.
Roommate conflicts, personality differences, or lifestyle preferences (sleep schedules, cleanliness, noise, etc.) are the responsibility of the guests.
The host will not mediate or resolve roommate disputes and will not issue refunds due to roommate conflicts.
5. Room Changes
Room changes during the retreat are not guaranteed and are subject to availability.
Any upgrades or changes may result in additional charges.
6. Final Acknowledgment
By selecting shared accommodation, you acknowledge that:
- Shared lodging involves compromise and cooperation.
- You accept responsibility for payment obligations tied to shared occupancy.
- You understand the roommate matching process and its limitations.
✅ Agreement Acceptance
By completing your booking, you confirm that you have read, understood, and agreed to this Roommate Agreement in full.
